We’re looking for a proactive and detail-oriented Business Support Administrator to join our busy and collaborative Business Support Team. This role is ideal for someone who thrives on organisation, enjoys problem-solving, and is confident navigating systems and processes.
You’ll play a key role in supporting the Business Support function and other departments as needed, helping to deliver excellent service to clients while ensuring smooth internal operations.
Key Responsibilities- Maintain and optimise the CRM system
- Review job progress and quality, ensuring accurate closure and invoice creation
- Process engineers’ reports and expenses, checking for discrepancies
- Manage compliance paperwork and ensure correct certification is shared with clients
- Liaise with subcontractors and suppliers regarding outstanding invoices
- Navigate document management systems and escalate invoice queries for approval
- Ensure timely and accurate job shutdowns for invoicing
- Monitor client portals and provide compliance reports and certificates
- Review WIP reports and escalate outstanding items
- Generate weekly and monthly site activity reports
- Respond to general enquiries promptly and professionally
- Escalate invoice queries and obtain necessary work orders
- Support management with complaint investigations
- Assist other departments with ad-hoc projects
- Provide cover for Service Desk and Technical Administration duties when required
- Strong organisational and communication skills
- High attention to detail and accuracy
- Experience with CAFM systems (preferred but not essential)
