Role: Property Manager’s Assistant
Location: Harlow Essex
Working Hours: 37 hours per week with a variety of start times to choose from and hybrid working after a training period
Reports to: Property Manager’s Assistant Team Leader
Salary: £24,000 plus benefits
Job Summary You will support Property Managers in managing their portfolios, ensuring the effective administration, supervision, and maintenance of residential properties. This role involves liaising with leaseholders, directors, and contractors to deliver the highest levels of service in line with company standards and client expectations.
Responsibilities & Duties- Maintain a 48-hour response time for all communication with clients, leaseholders, contractors, and other stakeholders.
- Respond to all telephone calls and messages within 24 hours.
- Communicate professionally and politely at all times, both verbally and in writing.
- Proactively support the delivery and development of service levels across the assigned portfolio to exceed client expectations.
- Draft and produce correspondence as required for individual leaseholders, blocks, or developments.
- Review task lists with the Property Manager regularly to allocate work and track site-related issues.
- Handle incoming phone calls and live chats related to managed properties.
- Ensure all outgoing post for the Property Manager is correctly processed.
- Keep key records accurate and up to date.
- Arrange access for contractors and ensure proper handling of keys.
- Liaise with contractors to obtain quotations and coordinate required works.
- Maintain accurate and up-to-date document folders for all sites.
- Address invoice payment queries and discrepancies.
- Manage filing and document organisation.
- Arrange venues and logistics for Annual General Meetings (AGMs).
- Respond to standard enquiries received by email, post, or phone.
- Draft and issue standard letters related to day-to-day operational matters.
- Prepare meeting files and supporting documents for the Property Manager.
- Monitor and update internal ticketing systems for both your own and your Property Manager’s tasks.
- Attend site visits when required to support the Property Manager.
- Previous experience in property management is desirable.
- Strong administrative and organisational skills.
- Excellent customer service focus.
- Eagerness to learn and develop within the property management industry.
- Ensuring compliance with lease terms and relevant legislation.
- Managing the generation and collection of service charges.
- Maintaining health and safety compliance across all managed properties.
