Job Title: Commercial Administrator
Location: Harlow, UK
Working Hours: 8:30 AM - 5:30 PM (1-hour lunch break)
Holiday: 25 days annual leave plus bank holidays
 
Our client is a prominent construction business based in Harlow, dedicated to delivering exceptional projects with a focus on quality, efficiency, and customer satisfaction. We are seeking a highly organised and motivated Commercial Administrator to join our dynamic team and support our commercial operations.
 
Job Overview: The Commercial Administrator will play a vital role in our construction business by providing administrative support to the commercial team. This position involves managing documentation, assisting with financial processes, and ensuring the smooth running of commercial activities. The ideal candidate will be detail-oriented, proactive, and capable of managing multiple tasks efficiently.
 
Key Responsibilities:
  • Documentation and Administration:
    • Prepare, manage, and archive commercial documents, including contracts, invoices, and correspondence.
    • Maintain accurate records and ensure all commercial documentation is up-to-date and compliant with company policies.
  • Financial Support:
    • Assist in the preparation of financial reports, budgets, and forecasts.
    • Process purchase orders, invoices, and payments, ensuring accuracy and timely submission.
    • Monitor project costs and assist in the preparation of cost reports.
  • Contract Management:
    • Support the administration of contracts, including drafting, reviewing, and tracking contractual agreements.
    • Ensure that all contract documentation is properly filed and easily accessible.
  • Communication and Coordination:
    • Liaise with clients, suppliers, and subcontractors to facilitate smooth commercial operations.
    • Coordinate meetings, appointments, and travel arrangements for the commercial team.
    • Communicate effectively with internal and external stakeholders to resolve queries and issues.
  • Data Management:
    • Maintain commercial databases and ensure data integrity and accuracy.
    • Compile and analyse data to support commercial decision-making and reporting.
  • Support to Commercial Team:
    • Provide administrative support to the commercial team in all aspects of their work.
    • Assist with the preparation of tender documents and submissions.
    • Support the commercial team in achieving their objectives and meeting project deadlines.
Qualifications and Skills:
  • Previous experience in an administrative role, preferably within the construction industry.
  • Strong organisational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team.
  • Knowledge of commercial processes and financial principles is desirable.
  • Familiarity with contract administration and management.
