Mosaic Recruitment is delighted to be supporting a successful and growing organisation in the recruitment of an experienced Office Administrator to join their friendly and busy team.
This is a varied position that combines customer service, order processing, logistics coordination, data management and general administration, making it an excellent opportunity for someone who enjoys taking ownership of their workload and being involved across different areas of a business.
We're looking for someone who is organised, confident and proactive, with particularly strong Excel skills and an interest in using systems and technology to work smarter and improve processes.

The Role
As Office Administrator, you will play an important role in ensuring the smooth day-to-day running of customer orders and office operations.
You'll manage customer enquiries, process orders, coordinate deliveries and work closely with internal departments, suppliers and transport providers to ensure everything runs smoothly.
This is a busy role requiring someone who can multitask, prioritise and problem-solve, while maintaining excellent attention to detail.
You'll also be encouraged to identify better ways of working, particularly through Excel, Google Sheets and other office systems.
Key ResponsibilitiesCustomer Service & Order Management
- Monitor and manage a busy email inbox throughout the day.
- Process customer orders accurately and efficiently.
- Respond to customer queries regarding orders, deliveries and availability.
- Handle incoming telephone enquiries professionally.
- Resolve customer order and delivery issues wherever possible.
- Arrange and confirm deliveries with customers.
- Maintain excellent relationships with customers through professional telephone and email communication.
- Provide accurate and timely information regarding orders and deliveries.
- Work closely with internal operational teams to monitor stock availability and order progression.
- Coordinate customer deliveries and dispatch requirements.
- Liaise with transport providers and suppliers regarding delivery schedules.
- Investigate and resolve delivery queries, delays and discrepancies.
- Obtain and verify Proof of Delivery (POD) documentation.
- Ensure completed orders are processed correctly for the Accounts team.
- Maintain accurate dispatch and operational records.
- Prepare supporting documentation for customer orders and deliveries.
- Accurately maintain customer, order and transport information.
- Update spreadsheets and internal systems throughout the day.
- Produce customer and operational reports.
- Use Microsoft Excel, including formulas, to manipulate and analyse information.
- Work with Google Sheets to maintain and improve operational information.
- Maintain accurate stock, dispatch and scheduling information.
- Identify opportunities to make reporting and administrative processes more efficient.
- Maintain organised electronic and manual filing systems.
- Prepare, scan and process documentation.
- Order stationery and office supplies.
- Assist with general day-to-day office administration.
- Support colleagues during busy periods and holidays.
- Assist with projects and additional administrative requirements when needed.
- Identify opportunities to streamline administrative processes.
- Suggest improvements to spreadsheets, systems and working practices.
- Work collaboratively with colleagues across the business to resolve operational issues.
- Support the introduction of more efficient ways of working.
About You
This role would suit an experienced Administrator who enjoys being busy, taking responsibility and solving problems rather than waiting to be given the next task.
You'll ideally have:
- Previous office administration experience.
- Strong customer service skills.
- Experience processing customer orders or coordinating deliveries would be advantageous.
- Good Microsoft Excel skills, including confidence using formulas.
- Experience with Google Sheets would be beneficial.
- Strong Microsoft Outlook and Word skills.
- Excellent written and verbal communication skills.
- Exceptional attention to detail and data accuracy.
- Strong organisation and time management skills.
- The ability to manage multiple priorities and deadlines.
- A confident and professional telephone manner.
- A proactive approach to problem solving.
- The confidence to work independently while remaining a supportive team player.
- A willingness to learn new systems and processes.
