Overview
The role involves building and maintaining strong relationships with key business contacts, addressing client queries, managing stock levels, and ensuring established business processes are followed. The ideal candidate will have excellent administrative and organisational skills, with the ability to manage a wide variety of tasks—from composing professional emails to communicating effectively with internal teams, managers, and customers.
This position also plays a key part in resolving issues throughout the process lifecycle and ensuring all teams involved meet required Service Level Agreements to achieve smooth operations and high client satisfaction.
Key Responsibilities- Manage and navigate multiple databases and systems, including internal and client-specific platforms.
- Build and maintain long-term relationships with customers through proactive communication and reliable service.
- Coordinate with clients to forecast demand and confirm orders accurately and on time.
- Prepare and manage outbound shipments from initiation through delivery, ensuring all customer requirements and deadlines are met.
- Monitor shipments in transit, addressing delays or issues and keeping customers updated.
- Track and manage stock levels across various locations, taking action to move or repurpose obsolete or excess inventory.
- Support cross-functional activities to drive solutions across departments.
- Update and maintain accurate data in activity reports and produce weekly and monthly reports (primarily using Excel).
- Respond to customer support inquiries via phone and provide effective communication and assistance.
- Collaborate with internal teams and provide them with current information and support.
- Maintain and prepare status reports and revise process documentation or handbooks as required.
