We are currently recruiting for an experienced Assistant Property Manager for a well established and growing organisation based in Croydon.
Key Responsibilities:
- To act professionally at all times, and in compliance with the law and the Private Rented Sector Code of Practice and recommendations of best practice provided by ARLA and RICS
- Work closely with the Associate Portfolio Manager to provide a good quality, measured and professional service to our clients. The role is wide ranging, so that members of the team can still provide an efficient service when anybody is on holiday or off ill
- Inspections of properties annually and potentially when repairs are required or works are proposed, and when necessary for other purposes (reading meters, checking on vacant house, etc.)
- Consider all communications (including postal, email and/or telephone) from clients, tenants and contractors, and if within your remit, take appropriate action and keep parties advised of actions, or otherwise take accurate messages for referral to the appropriate person
- Mail merge letters to clients/ tenants as required, Filing and photocopying
- Consider validity of requests for works/repairs and when appropriate instruct an approved contractor, using works order templates, seeking client’s prior approval when necessary
- Check through works orders for works not paid for and check whether the works have been started or completed
- Check invoices, and if within approved limits, code to approve payment
- Chase tenants with arrears
- Oversee the release and return of keys, by maintaining a key logging system
- Maintain good records in co-ordination with the team’s processes, both paper and electronic, and act upon records in order to meet all deadlines and appropriate timescales
- Maintain an up to date central record of gas safety certificates, electrical installation condition reports, Portable Appliance Testing & Legionella Risk Assessments, Fire alarm & Emergency Lighting Inspections and seek renewals within deadlines
- Liaising with other departments and offices, and assisting when requested
- Understand financial management reports sufficiently to discuss their content with our clients
- Whilst the above are general responsibilities, you may be made solely responsible for some of the above. In addition to the above general responsibilities, you will take a greater lead in connection with the vacant dwellings (which will normally be only a few in number at any time), including:
- Carry out all tasks on the department’s Check Lists, relating to the process of tenants vacating, arranging appropriate works whilst vacant and then re-letting
- For local properties, prepare marketing particulars/property details and maintain records on the internet (currently Zoopla), take calls from prospective tenants, undertake viewings, consider suitability of prospective tenants, advise client of interest, check ID, undertake right to rent checks and obtain references, arrange inventories and check in tenants.
- For vacant properties further afield, appoint and monitor the performance of a local sub-letting agency, liaising with them for progress updates and ensure compliance with all requirements of our organisation and our client
- Prepare tenancy agreement and move in packs in conjunction with the Associate Portfolio Manager
- Complete the appropriate forms to notify the accounts department of the new letting, register the tenant’s Deposit, notify the utility companies and Council Tax department (currently using Tenant Shop) prepare invoices for fees
Person Specification:
- You will be required to have experience within property management
- You will be required to have a good understanding of Private Rented Sector Code of Practice and recommendations of best practice provided by ARLA and RICS
- You will be professional and well presented, at all times
- You will be reliable and highly organised
- You will possess excellent communication skills and adaptable
Hours of Work:
Monday to Friday 9:00am-5:15pm (1 hour lunch break)
