Description

We have an exciting opportunity for a highly motivated Events Assistant to join our fantastic client in Ware, Hertfordshire. This is a maternity cover position which they envisage will be for approximately 10 months.

Within this role, you will be responsible for supporting the Events Manager in delivering training programmes as well as assisting the Events Team with the administration of other events and ad-hoc project work.

Joining a fast-paced and busy team, you will work 37.5 hours per week between Monday and Friday, you will be entitled to the following benefits:

Responsibilities of the Events Assistant

  • Taking bookings for schedules workshops and advanced workshops.
  • Organising private workshops.
  • Working through a bespoke database and ensuring it is always up to date.
  • Liaising with venues and processing contracts.
  • Create booking forms and maps and ensure they are kept updated.
  • Organise and liaise with presenters and trainers.
  • Work with the Marketing Team to ensure presentations, website and documentation are up to date.
  • Schedule invite send-outs through Contact Contact.
  • Make up attendee packs, manuals and paperwork to send to venues.
  • Confirm final requirements to venues – final numbers, dietary requirements etc.
  • Attending workshops when required in London.
  • Create purchase orders.
  • Processing payments, issuing invoices and chasing payments.
  • Printing and sending of CPD certificates.
  • Record feedback from each event into spreadsheets and create reports.
  • Provide content for quarterly Marketing reports.
  • Source new venues when required.
  • Responsible for the workshop and advanced workshop ISO procedure.
  • Keep all workshop stock, stationary and equipment up to date and order when required.
  • Help rep for the following year’s schedule.
  • Assist with the administration of the initial set up of dates in July/August for the following year.
  • Liaising with Marketing Dept. to ensure main website is updated.
  • Communicate changes internally and externally as required.
  • Update Senior Management directly with any changes.
  • Send meeting requests where appropriate.
  • Updating Office Outlook calendars.
  • Support the Events Manager and Events Team in administering the planning and running of the annual awards.
  • Handling all enquiries in relation to all aspects of the awards.
  • Mail merging and sending out/emailing letters and forms at various stages of the planning process and recording detailed responses.
  • Keeping the database up to date and accurate – recording details of all conversations and changes.
  • Recording payments received and liaising with the Accounts Dept. regarding invoices and payments.
  • Assisting with the creating of event literature including table plans, presenters running order, certificates and citations.
  • Help and support practical preparation of events.
  • Print certificates and citations for company awards (including replacements).
  • Set up meeting information/boxes for each event day.
  • Deal with any change/requests/updates on event days.
  • Assist with follow-up work post awards – unpacking, chasing payment and collating feedback.


Key Skills and Competencies

  • Previous experience in events/hospitality
  • Office/admin/telephone experience
  • Confident individual who would be happy to attendee workshops when required
