You will join a busy and friendly team providing administrative support. The working hours are Monday to Friday 9:00am – 5:15pm and they can offer you a competitive salary and excellent benefits.
Responsibilities:
- Manage the events administration team
- Oversee the sales support for the events portfolio
- Support the coordination and smooth running of the Sales Administration team for your division including training new staff.
- Support all the sales managers and directors with their requirements including providing sales managers and directors regular financial reports across all our events as and when required.
- Initiate and hold regular meetings with the Senior Event Sales Administrators from each division and the whole of the Event Sales Admin team to ensure all divisions are implementing and following the same company procedures.
- Report any concerns raised to the Sales Managers and provide the necessary support to the Sales Administration teams in each division.
- Represent the needs and role of the Event Sales Administration teams at internal meetings as required.
- Take responsibility for coordinating pre and post show activities in conversation with the Sales Manager and Sales Director.
- Compile lists and sort data exported from Filemaker.
- Keep on top of print deadlines and liaise with Sales Managers and Directors to ensure material is submitted and approved on time
- Be responsible for the overseeing of shows in your division from a sales support perspective. This will include training new Event Sales Reps, making sure signed contracts for exhibition stands are processed, inputting and managing the data on Filemaker, sending welcome packs to exhibitors, pulling lists to share with our sales, marketing, studio and operations teams.
- Managing the regular updating of all floorplans across the portfolio.
- You will be required to liaise between the Show Directors and our external floorplan hosts to support the restructuring of the floorplan for upcoming shows.
- Working to improve the efficiency of the teams processes, softwares and procedures to enhance speed, quality, efficiency, and output.
- Liaise with our external operation teams for each event with regards to floorplans, terms & conditions and exhibitor manuals.
- Maintain a strong working relationship with other internal departments including Accounts, IT, Marketing, Filemaker, Studio.
- Be the first point of contact for exhibitor queries and complaints. Logging them correctly on Filemaker and passing on to the relevant Sales Manager and Sales Director
- Coach, mentor and develop staff, including providing career development planning and opportunities.
- Work directly with the sales teams to ensure the booking process through to the team going onsite runs smoothly and efficiently.
- Maintain employee work schedules including show rotas, lieu days, job rotation, training, holidays and attendance.
- Travel to work onsite (occasional weekends) in the Sales Office at our shows to support the team with re-bookings
