- Job Title: Temporary Annual Site Awards Administrator
Duration: 3-6 months, starting ASAP
Location: Primarily based in London and Ware with maybe some homeworking prior to events taking place in London, Edinburgh, and Manchester (Travel Required)
Overview: We are seeking a dedicated Temporary Administrator to oversee the planning, coordination, and execution of our Annual Site Awards events across multiple locations. The successful candidate will be responsible for supporting the smooth running of the events, from pre-event preparation to post-event administration, including on the day event support including but not limited to show running, order of awards, speaker notes, certificate distribution, and the running of the day/awards ceremony.
Responsibilities:
Event Planning and Coordination:- Work closely with the event planning team to coordinate logistics for the awards ceremonies in London, Edinburgh, and Manchester.
- General administrative support for the event.
- Ensure all necessary equipment and materials are prepared and delivered to each event location.
- Support the running of the awards ceremonies, including the order of awards, speaker presentations, photography, etc.
- Be aware of and support a detailed schedule to ensure the smooth flow of the event and adherence to timing constraints.
- Support CCS Staff and technical crew to address any on-site issues promptly.
- Liaise with speakers to ensure they are briefed on the agenda and any specific requirements for their presentations.
- Providing any assistance to speaker.

- Supporting with the printing and sorting of certificates for award recipients.
- Ensure accurate distribution of certificates during the awards ceremony.
- Assist in gathering feedback from attendees and stakeholders for post-event evaluation.
- Manage administrative tasks such as expense reconciliation, vendor invoicing, and document archiving.
- Supporting with equipment and logistics post event.
Requirements:
- Confident in working independently and as part of a fast-paced team.
- Adaptable to customer facing requirements.
- Previous experience in event administration or coordination, preferably in awards ceremonies or similar corporate events.
- Exceptional organisational skills and attention to detail.
- Strong communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
- Ability to multitask and prioritise tasks in a fast-paced environment.
- Flexibility to travel to event locations (London, Edinburgh, Manchester) and willingness to undertake overnight stays as required.
- Proficiency in Microsoft Office suite and event management software.
- Commitment to the duration of the assignment (3-6 months).
