- Description
- Our client is based on the outskirts of Harlow and are looking for a temporary Administration Officer.
The role is until the end of March 2023 but depending on workload, this may be extended but there is no guarantee of this at present.
Due to the location of the client, you will need to drive as the area is set in a remote location.
Hours are 9-5pm - Full-time ( shorter hours may be considered )
Pay rate £10.64 per hour
Accountabilities
- Provide a high quality administrative service for the Management team
- To lead on minute taking to support management team in your service area. Type and distribute minutes in the appropriate format relevant to the meeting.
- Arrange local induction for Agency staff.
- Provide support to the rota co-ordinators in all areas of completing rotas.
- To assist management team in completing and tracking audits.
- Deal with telephone and face to face enquiries from all staff groups, residents and relatives, providing information, directing and prioritising queries as appropriate.
- In conjunction with the Management team, assist with and organise annual statutory reviews
- Run reports to provide the Management team with relevant information.
- Produce a monthly newsletter for each department with support of Management team.
- Work with Management teams to develop new recording systems.
- Redesign forms to ensure processes are streamlined and effective. This relates to HR, Payroll and rostering.
- Ensure agencies used are compliant with regulatory bodies and that profiles are signed off by relevant Manager. This will involve careful tracking that all aspects of each profile are up to date, and this is recorded on CRM in a timely manner.
- Ensure that all information systems and data bases within your area of responsibility are established, implemented and utilised in a way which meets the area and corporate requirements.
- Responsible for ensuring accurate information is collected, analysed and presented for your area of responsibility.
- Ensure that all required reports are produced.
- Assist and ensure that ongoing processes for recording appraisal and supervision exist within your area of responsibility.
- Ensure that effective communication network exists within your area.
- Data input, as required.
- Extract, collate and summarise data to enable preparation of standard verbal, written or statistical reports or returns.
- To be familiar with Health and Safety regulations, policies and procedures and ensure they are adhered to within your area of responsibility.
General
- To be familiar with and competent in the use of office equipment
- To be familiar with and competent in the use of electronic data storage and programs eg Word, Access, Excel, Powerpoint at an intermediate level.
- To have excellent organisational skills, particularly in relation to the organisation and storage of information and documentation within the service.
- To respect the need for confidentiality and sensitivity, using tact and diplomacy when dealing with external agencies.
- To fully participate in the organisation’s performance review, personal development planning and supervision processes. Support is provided by regular supervisions with the Line Manager.
- Undertake training as necessary in line with the development of the post and agreed with Line Manager.
- Use own initiative to make basic decisions regarding workload priorities, enquiries and diary conflicts.
- Demonstrate achievements against standards of personal and professional development within the agreed timescale.
- Contribute positively to the effectiveness and efficiency of the team.
- The appointment is subject to completing a declaration of health, which may lead to a full medical examination upon request.
