- Description
- This is a great opportunity for a Purchasing Executive who is pro-active and enjoys forging good working partnerships both internally and externally. The role will involve taking responsibility for the purchasing and administrative activities for suppliers. The position will report to the Purchasing Manager and the successful candidate will support them in delivering the overall strategy for purchasing, aligned to the agreed business objectives, values and Key Performance Indicators (KPI’s). As Purchasing Executive, you will work closely with internal and external stakeholders to ensure purchase orders are managed and updated from creation to arrival. The goal is to support the management of the entire order cycle to enhance business development and ensure sustainability and customer satisfaction.
Duties
- Create and issue Purchase Orders according to lead time
- Manage the purchase orders raised to completion, including checking systems, order acknowledgement and invoices
- Ensure that purchase quality, quantity, delivery and price is correct, resolving any problems or issues
- Monitor orders and deliveries and proactively updating the relevant people / departments
- Manage and update the pricelists
- Liaise with existing suppliers and contact alternative suppliers if necessary
- Assist with audits from both external and internal stakeholders
- Handle material quality issues and delivery issues (NCs)
- Arrange any supplier returns due to damage or faulty materials
- Ensure all purchasing records are up to date
- Support the preparation of monthly purchase statistics and report and assist on annual vendor performance assessments
- Work with the commercial teams to understand and determine expected forecasts for material to support consolidation of orders and stock management
- Manage stocks, maintain and support the stock turn, identifying slow moving items
- Work with the commercial team to mitigate the need for stock expiry and disposal
- Ensure ISO requirements and documentations are properly maintained through the evaluation and evolution of processes, procedures and work instructions
- Build professional relationships internally and externally to ensure a good flow of communication
Skills, knowledge and attributes
- Experienced working within a Purchasing function
- Familiar with material planning, critical paths, supply chains and stock management
- Awareness of cross-functionality within an organisation
- Proactive, self-motivated and confident using initiative to work independently
- Effective team worker with the ability to work independently
- Ability to work under pressure, plan, prioritise and organise own workload
- Proficient user of technology including Excel, Lotus Notes. Sage X3 or other ERP/MRP systems
- Customer centric with the ability to effectively build relationships with internal and external parties
- Good communication with a wide variety of people and confident negotiating effectively
