This is a key position, and the suitable candidate will have strong foundation in Business and management and suitably qualified for this type of role.
You must be capable of working independently in an exciting, fast-paced setting requiring initiative, strong organisation, flexibility, and the ability to handle multiple projects concurrently and prioritize accordingly.
The role will evolve as the business continues to grow and you will be expected to welcome a culture of continuous improvement and development, both within your role and as part of your personal and professional capacity.
Main Duties and Responsibilities
- Provide daily, proactive, and efficient official secretarial and administrative support to the MD and supporting other executive team members
- Proactive email, diary management for MD, organising their busy diaries including liaison with internal
stakeholders and clients
- Support the MD by preparing them for meetings, including organising travel arrangements and itineraries, providing all supporting information and documentation such as agendas, minutes, papers etc.
- Accreditations: provide support in company’s new accreditations and renewal projects by liaising with various departments to gather pertinent documentation. Some of the key accreditations include ISO, CHAS, Constructionline, Achilles, Safe Contractor, ECA, NICEIC
- Marketing: Support the executive team with Business Development and marketing strategies
- Documentation: managing Executive database and filing systems
- Typing, compiling, and preparing reports, presentations, and correspondence
- General administration duties such as office maintenance, and collating, recording, and filing expenses and invoices.
- Understand financial systems and procedures, and support MD and Executive team with general financial matters
- Cover MD’s personal logistics and administration tasks such as liaising with insurance companies, energy providers, maintenance, personal vehicle management, etc.
- Support and shadow administration support team wherever required
Key Requirements
- 1-3 years of experience as Executive or Personal Assistant
- Bachelor or higher in social sciences or business management
- Excellent IT Skills such as MS Office, CRM etc.
- Discretion and trustworthiness: you will often be party of confidential information
- Proactivity, flexibility, adaptability, outstanding communication, and interpersonal skills
- Excellent attention to detail, organisational and priority management
- Tact and diplomacy
- Deadline driven
