We have an excellent opportunity for an experienced and competent Administrator to join the Marketing Communications Team of a well-known large organisation on a one-year Fixed Term Contract as an Events Co-ordinator.
You will be involved with the smooth day-to-day running of the Events Team, as well as overseeing all aspects of event planning and management to a high level for both internal and external events. Events background is not essential, but you will need strong administration, communication and IT skills. Although this is an FTC it will be reviewed after one year.
Duties & Responsibilities include:
- All aspects of event planning in line with budget
- Budget and compliance
- Support sales staff by creating event forms
- Collate all legal documentation: contracts, disclaimers, insurance, terms, and conditions
- Check details of proposed events and obtain approval as required
- Maintain Events inbox and diary
- Keeping accurate records and maintaining internal systems
- Procure event merchandise as required
- Accurate, timely post event reporting, to include cost comparison analysis
- Create and develop systems and processes for monitoring and reporting
- Own and maintain Events team ISO procedures and forms
- Arrange travel and accommodation for staff
- Challenge as appropriate and apply best practice with regards to cost, value and/or compliance
- Create event packs and name badges, etc.
- Create confirmation itineraries, arrange tickets, delegate queries
- Attend event when required and ensure event runs smoothly and to plan.
- Develop internal and external relationships to achieve best practice and service
- To undertake such other duties as may be reasonably requested by your line manager, Marketing Manager, or any more senior manager or Director.
Experience and Qualifications:
- Strong proven background within an administrative role
- Project management experience would be highly desirable
- Events coordination experience would be desirable

- Well-honed time management, multi-tasking skills and ability to meet set deadlines
- First rate customer service skills
- IT literate and competent user of Microsoft packages
- Ability to use initiative and strong problem-solving skills

- Self-motivated, pro-active and resourceful
- Good analytical and numeracy skills
Travel will be required with this role in terms of meeting with suppliers, viewing potential events venues and attending events both in the UK and abroad. There will be some out of hours work required with this role.
