Duties
- Act as the first point of contact for all visitors and deal with general enquiries via the telephone.
- Assist/manage consultation exercises prior to carrying out building works projects.
- Keep all interested parties informed about the timing, intrusiveness and progress of building works and also the progress of work, changes in program and problems.
- Carry out general administration duties, this will include filing, copying, data entry.
- To familiarise yourself with the Works Programs, produce timelines and programs to initiate consultation exercises.
- To familiarise yourself with the proposed individual building projects.
- To arrange and service meetings as and when required; and attend regular meetings with work colleagues, consultants and client representatives to discuss any problems, receive instructions and highlight any outstanding issues.
- To attend pre-contract meetings as well as regular contract meetings between the contractor and contract administrator.
- To prepare and send out information packs/documents, to residents effected by major building works, collate the responses and arrange for replies to be sent to residents where required.
- To produce and send out information packs and all correspondence confirming the timing of work, location of site compounds, the intrusiveness of works, the progress of works.
- To provide a breakdown issues raised by the consultation for the relevant project surveyor and property services management.
- To visit sites with surveyors, officers, consultants and residents relating to consultation issues.
- To liaise with contractors and visit building sites to obtain up to date information.
- To produce programs of work, spreadsheets and databases as required.
- To manage and organise the central filing system, technical library and plans and drawings for the Capital Works Section
- To manage the equipment and stationery, ordering

Qualifications and Skills
- GCSE or equivalent in English and Maths.
- Proficient user of Microsoft Office.
- Basic understanding of Heath and Safety.
- Competent monitoring budgets.
- Team player.
- Confident making independent decisions.
- Excellent level of Customer Service.
- Empathetic to problems.
- Able to resolve issues effectively.
- Excellent verbal and written communication skills.
- Able to plan and prioritise your workload.
- Detail orientated.
- Awareness of data protection
- Able to be flexible and attend out of hours meeting occasionally.
- Must hold a full driving licence.
