We have a new opportunity available for an experienced Executive Assistant for our client who are based in Harlow.
The successful candidate will need to have a proven background in a similar role and have worked at board level previously. You will be professional, very organised and have the ability to work for multiple senior staff. IT skills are essential, knowledge of Microsoft Project would be a distinct advantage.
Key duties of the Executive Assistant;
Administration
• Maintain the register of Directors and members, along with relevant public information, ensuring our information is accurate and compliant at all times
• Act as the point of contact for enquiries and manage communication within the service email address
• Support the process for appointments & elections, Board & Committee Members to provide effective & efficient administrative support, Committees, Board and Executive Team
• Take a proactive approach to monitoring governance and compliance activities, ensuring that deadlines and compliance requirements are met.
CIO and Operations Teams Secretarial Support
• Providing direct support to the CIO and Head of Operations including minute-taking, diary management etc.
• To undertake typing and word processing as required
• To undertake filing, photocopying and reprographic work as required
• To provide general clerical support as required
Central Team Project Support
• To support the Head of Operations by maintaining systems and processes to manage projects across the Trust, linking with other key central functions including IT and Finance.
• To undertake project administration for capital projects as directed by the Head of Operations including developing and maintaining project documentation e.g. programmes of works.
• To maintain Health, Safety and Compliance, training logs and other records, as directed by the Head of Operations team
• Support the HOO to ensure issues raised by schools are monitored and resolved in a timely manner.
• To arrange and facilitate meetings with internal and external stakeholders as directed
• To support budgeting procedures, including raising Purchase Orders and other financial tasks.
• To create and update records and databases with premises, financial and other data, as directed
• To manage phone calls, correspondence, diary management and travel arrangements, as directed
