- Description
We are currently seeking a naturally analytically minded individual who enjoys working with technology and digital systems and has the ability to assist with the design of processes and guidance documentation. This is an interesting position where you will gain a high level of exposure with a HR department during the roll out and integration of a series of digitised HR processes and workflows.
Duties and responsibilities
- In conjunction with the HR Leadership team) build, design and implement a digitised HR process and workflow plan including core processes such as probationary, maternity, paternal, paternity and flexible working
- In conjunction with the HR Analysts and HR Specialists understand the legislative requirements and any associated obligations/existing commitments and thereafter design guidance and procedural documentation that is fit for purpose, consistent and standardised
- Design process maps to underpin all guidance and procedural documentation including User Guides, Quick reference guides, scripts and webinar associated e-learning material
- Support training requirements so that content is appropriate and consistent
- Support in the design of training to ensure guidance and processes are communicated in a clear and easily understood way
- Implement a document management strategy (including archiving/document storage) utilising Cascade HR
- Support the HR Leadership team in the roll out of the HR model, via the utilisation of available technology
- Finalise and roll out, in conjunction with key HR specialists in the Group, the standard suite of HR letters and templates that are hosted in the Group HR Cascade system
- Producing and analysing data using reports from the Group HR system and other data resources to populate HR reports and scorecards
- Utilising the Group HR system to develop and roll out management information dashboards
- Run, circulate and report on the demographics of our workforce
- Responsible for the Group gender data reporting and analysis
- Lead on ISO HR audits within the business, particularly pertaining to process compliance
- Oversee and assist in the maintenance of data integrity of the HR system; ensure that it is a trusted source of information by the business
- Ad hoc systems administration support on the HR Cascade system
- Ad hoc support to the HR team and business, as required, including during holiday and absence leave
Data Protection and Information Security
- To help ensure adherence to the requirements of the General Data Protection Regulations, in respect of confidentiality, security and disclosure of personal data
- To help ensure that team members comply with the Group Information Security Management (ISMS) policies and procedures
Training requirements
- Cascade HR and any other systems
- Company policies and processes including data protection and system security
Person specification
- Ability to work on own, as well as part of a team and in a matrix structure
- Confident in dealing with people on the phone and in person
- Ambitious, enthusiastic and self-motivated individual
Qualifications, Knowledge and Skills: essential
- Good process and workflow design and implementation experience
- IT literate with experience in using Microsoft systems and proficiency with databases
- Intermediate to advance level of experience of Microsoft Excel using pivots/graphs/formulas
- Experience working within an analytical role
- Excellent planning and organisational skills
- Ability to prioritise workloads and project manage
- Excellent attention to detail and naturally analytical in the approach to day to day work
- Ability to work with structured and unstructured data
- Ability to work on own initiative and without supervision
- Able to maintain confidentiality and discreetly at all times
Qualifications, Knowledge and Skills: desirable
- Experience within an HR discipline desirable
- Degree qualification - ideally in an analytical data intensive discipline
- Understanding of statistical analysis to predict outcomes is desirable but not essential
- Ability to manipulate data through IT systems and ability to learn new technology
