- Description
We have an excellent opportunity for an experienced Administrator to join the Product Development department of a well-established professional organisation.
With a proactive and systematic approach to administration and good accuracy and attention to detail you will provide co-ordination and administrative support to the Manager and Head of Department as well as being the central point of contact for departmental customer and stakeholder communication.
Key Responsibilities include but not limited to:
- Effectively co-ordinate customer and stakeholder communication being first point of contact for queries
- Organise, set up, support and where necessary attend meetings, both internal and external. This will include venue arrangements, stakeholder engagement and co-ordination, taking minutes/notes
- Manage and co-ordinate the task and action lists to ensure completion and challenge individuals when deadlines are not met
- Support the Head of Department in the delivery of project and departmental objectives
- Provide solid administrative support to both Manager and Head of Department
- Accurately record and report departmental deliverables
- Deal with defined incoming and outgoing invoices, including raising purchase orders, customer invoices using Sage and distributing incoming invoices for authorisation
- Track team expenditure and working time for team projects
- Co-ordinate team travel and accommodation when required
- Develop final versions of documentation from drafts, proof read and agree final versions with the appropriate Manager.
- Co-ordinate activities to ensure key web-pages are maintained and updated
- Other support duties at times of peak business or for holiday/sickness cover
Education/Knowledge/Skills and Experience:
- Educated to GCSE A*-C in Math’s and English or equivalent
- Excellent IT skills including advanced level in Microsoft Word and Excel
- High level of attention to detail and proof reading skills
- Proven experience of working in an administrative/co-ordination role
- Good organisation, time management skills with ability to meet strict deadlines
- Excellent communication skills both written and verbal
- Good customer service skills
- Able to work individually as well as part of a team.
This role is working Monday to Friday 35 hours per week and is office based although may involve occasional travel within the UK.
