We are delighted to be offering a 12 month FTC to cover Maternity for an experienced and professional Executive Assistant.
Working directly for the Senior Leadership team and managing a part time Travel Administrator you will be responsible for performing a number of administrative tasks and be the first point of contact for the team.
You will need to be very self-motivated, capable of managing a variety of tasks and prioritising your work load.
Other key responsibilities will include:
- Organise and schedule meetings
- Prepare meeting agendas and take minutes
- Book business travel arrangements, including flights, transportation and accommodation for senior leadership and other staff members
- Manage travel itineraries for senior leadership team
- Manage the diaries and schedules of senior leadership team
- Communicate with Board Members, schedule Board Meetings and arrange meeting agendas
- Processing expenses for senior leadership team
- Liaise with clients, customers and business guests
- Solve simple IT problems and contact the IT department when necessary
- Maintain electronic filing system, ensuring processes are up to date and in working order
- Maintain a strong working relationship with other relevant departments, including IT, HR, sales, marketing, operations, research and development
- Liaise with other staff members on behalf of senior leadership
- Manage the travel department for the division
Knowledge and Experience:
- Experience of working within a similar environment
- Experience of working at Senior/Director level
- Ability to co-ordinate Video and Audio Conference Calls
- Extensive diary management
- Experience of organising and minuting meetings
- Event planning
- Travel arrangements
- Excellent organisational skills
- Sound knowledge of Microsoft Office Suite
- High level communication skills both verbal and written
- Confident, passionate and pro-active
