Mosaic recruitment are looking for a TEMPORARY Facilities Administrator to join a charity based in Harlow.
This will initially be 6 weeks sickness cover and will be reviewed after.
You will be available to start immediately, have a clean driving licence and use of a vehicle. This position will be to an Enhanced DBS check.
The role is for you to provide administrative support and assistance to the rent recovery and facilities officers. You will ensure the service desk is maintained and all repairs are allocated and completed within the allocated timelines. You will also be required to conduct monthly checks in accommodation.
Main Tasks
- Ensure all requests raised on Service Desk are actioned within the allotted timeframes.
- Ensure all purchase orders are raised in accordance with financial policies and procedures notifying the recipient when the delivery/external contractor will be on site.
- Assist Facilities and ICT with Asset registers and stock taking.
- Liaise with RRFOs, mobile caretaker, cleaners, landlords and external contractors as necessary and follow the escalation process when jobs are not completed in the timeframes.
- Ensure all repairs are reported to service desk.
- Assist RRFOs to carry out monthly utility meter readings and update utilities data base as necessary.
- Assist RRFOs in keeping site operational manuals up to date notifying them of any changes to contractors, utility providers etc.
- Assist RRFOs with the rent collections and completion of HB applications as necessary.
- Maintain incident and accident log ensuring all reports are fully completed along with any actions identified. Completing a monthly report of exceptions to Finance and Resourcing Manager.
- Assist RRFO Conduct Monthly / Quarterly H&S checks and ensure appropriate action is taken where necessary, and take necessary remedial action.
It is desirable for the successful candidate to have experience in facilities, rent collection and health and safety.
