Description

Our client, a well established organisation is looking for an organised and detail orientated individual to work with the External Quality and Assessment Services team on a six month FTC, project managing and co-ordinating policies and procedures.

You will be co-ordinating the process for developing and implementing policies and procedures, delivering a consistent approach and administer regular reviews to update them and associated guidance documents.

You will ensure that documentation is kept up to date at all time and is accessible on all internal and external systems.

Key Responsibilities include:

Policy and Procedure Coordination:

  • Co-ordinate the development of company policies, internal operating procedures and all associated documentation.
  • Ensure that all policies and procedures are supported by easy to use process charts and that all documents are written in easy to follow language. 
  • Develop documentation from draft, proof read and agree final versions with the appropriate owner as part of the updating process.
  • Ensure company policies, procedures and associated documents are regularly reviewed and updated in accordance with the agreed review schedule.
  • Work within and across departments with key subject matter experts / stakeholders to facilitate the development and review process. 
  • Conduct internal research in relation to procedural effectiveness and their impact on the company.
  • Support with the dissemination of new procedures and documentation across the company.

Document Control:                                                                                        

  • Monitor and update guidance documentation provided, including the centre operating manual, to ensure accuracy and consistency of information.
  • Ensure information is uploaded to the website, appropriate internal or external systems and accessible to all stakeholders.
  • Maintain appropriate document templates to ensure a consistent approach and identify areas for improvement.

Person Specification:

  • Experience of documenting processes and producing guidance documents
  • Experience of working across teams to deliver cross-functional projects
  • Excellent organisational, administrative and coordination skills
  • Ability to plan activity and manage time effectively
  • Capable of managing multiple projects and priorities
  • Ability to research, interpret and manage information
  • Ability to present information to suit user needs
  • Excellent written and spoken communication
  • Ability to accurately proof read with exceptional attention to detail
  • Ability to interact and build relationships with a wide range of internal stakeholders in order to facilitate document updates and improvements
  • Excellent IT skills (experienced in Microsoft packages)
  • Education to ‘A’ Level standard or equivalent
